Privacy Policy

Last updated: 2 October 2026

At Casa Bambini, protecting the privacy, safety and wellbeing of the children and families we work with is extremely important to us.

This Privacy Policy explains how we collect, use, store and protect personal information when you visit our website, submit a child for representation, communicate with us, become represented by Casa Bambini, or work with us as a client.

We are committed to handling personal information responsibly and in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Our website submission form may ask for information including the parent’s name, child’s name, height, age, eye colour, hair colour, email address, telephone number and uploaded files or photographs.

We ask parents and guardians not to provide information that is unnecessary for the purposes of considering or managing a child’s representation.

3. Children’s Privacy

Because Casa Bambini is a children’s modelling agency, we recognise that children’s personal information requires particular care and protection.

Where a child is submitted for representation, we expect the submission to be made by, or with the knowledge and appropriate authority of, their parent or legal guardian.

We use children’s information only where there is a genuine and appropriate reason connected with:

  • considering an application for representation;
  • managing agency representation;
  • identifying suitable modelling, advertising or casting opportunities;
  • submitting a child to potential clients;
  • arranging castings and bookings;
  • administering licences and other regulatory requirements;
  • managing portfolios and agency records;
  • protecting the child’s welfare and safety; or
  • complying with our legal obligations.

We will not knowingly sell children’s personal information.

The welfare and best interests of the children we represent remain central to how we handle their information.

4. Photographs and Portfolio Material

Photographs are an essential part of operating a modelling agency.

Where appropriate, photographs, videos and other portfolio material may be used to:

  • assess an application for representation;
  • create or maintain a child’s agency profile;
  • present a child to appropriate potential clients;
  • submit a child for suitable castings or modelling opportunities;
  • communicate with casting directors, photographers, production companies, brands and other legitimate industry professionals;
  • administer confirmed jobs and bookings; and
  • promote Casa Bambini and its represented talent where the appropriate permissions have been obtained.

We will not use a child’s photograph for unrelated purposes without an appropriate lawful basis and, where required, permission from their parent or guardian.

5. How We Use Personal Information

We may use the personal information we collect to:

  • review modelling applications and submissions;
  • contact parents or guardians regarding an application;
  • establish and manage agency representation;
  • maintain accurate talent profiles;
  • identify potentially suitable modelling and casting opportunities;
  • submit represented children for appropriate opportunities;
  • arrange castings, fittings, shoots and bookings;
  • communicate booking information;
  • liaise with clients and industry professionals;
  • process paperwork relating to assignments;
  • assist with child performance licences or permissions where applicable;
  • process or administer payments;
  • respond to enquiries;
  • maintain records relating to our business;
  • manage and improve our website;
  • maintain the security of our systems and website;
  • prevent fraud, misuse or unlawful activity;
  • resolve complaints or disputes; and
  • meet legal, regulatory, accounting or safeguarding requirements.

6. Our Lawful Bases for Using Personal Information

Under UK data protection law, we must have a lawful basis for processing personal information.

Depending on the circumstances, we may rely upon:

Consent

Where you have given us clear permission to use information for a particular purpose.

Contract

Where processing is necessary in order to enter into or perform an agreement with you.

Legitimate Interests

Where processing is reasonably necessary for the operation of Casa Bambini, provided those interests do not override the rights and interests of the individual concerned. When children’s information is involved, we give particular consideration to the child’s rights and best interests.

Legal Obligation

Where we are required to process information in order to comply with the law or regulatory requirements.

Where we rely upon consent, that consent can normally be withdrawn at any time. Withdrawal will not affect processing which was lawful before consent was withdrawn.

7. Special Category or Sensitive Information

On some occasions, information relevant to a particular casting or booking may involve information that is considered more sensitive under data protection legislation.

We will only request or process this type of information where it is genuinely necessary and where we have an appropriate lawful basis and additional condition for doing so.

Parents and guardians should avoid sending medical or other sensitive information unless Casa Bambini has specifically requested it and there is a legitimate reason for providing it.

8. Who We May Share Information With

We do not sell personal information.

Where necessary for the operation of the agency, information may be shared with carefully selected or legitimate third parties, which may include:

  • brands and retailers;
  • casting directors;
  • photographers;
  • advertising and creative agencies;
  • production companies;
  • broadcasters;
  • fashion and commercial clients;
  • casting platforms;
  • production coordinators;
  • child licensing authorities or local authorities where appropriate;
  • professional advisers such as accountants, insurers or legal advisers;
  • IT, email, cloud-storage and website service providers;
  • payment providers; and
  • regulatory or law-enforcement authorities where we are legally required to do so.

When presenting a child for a potential opportunity, we aim to share only the information reasonably necessary for that purpose.

Providing information to a potential client does not give that client permission to use a child’s photographs or personal information for unrelated purposes.

9. Public Use of Children’s Images

Representation by Casa Bambini does not automatically mean that every image provided to us will be publicly displayed.

Where photographs or videos are intended to appear publicly on our website, social media accounts, promotional materials or other public-facing channels, we will ensure there is an appropriate basis for doing so and obtain permissions where required.

Images supplied solely for the purpose of an application or private casting submission will not automatically be treated as permission for unrelated public promotional use.

10. How Long We Keep Information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including satisfying any legal, regulatory, accounting or contractual requirements.

If a child is not accepted for representation, application information and photographs will generally be deleted after a reasonable period unless:

  • the parent or guardian has agreed that we may retain the information for future opportunities;
  • there is an ongoing enquiry or application; or
  • we are required to retain particular information for legal reasons.

For represented children, relevant records may be retained throughout the period of representation and afterwards where reasonably required for contractual, accounting, licensing, legal or legitimate business purposes.

When information is no longer required, we will securely delete, anonymise or otherwise dispose of it.

11. Keeping Information Secure

We take reasonable organisational and technical measures to protect personal information against:

  • unauthorised access;
  • accidental loss;
  • misuse;
  • inappropriate disclosure;
  • alteration; and
  • destruction.

Access to children’s personal information should only be available to those who genuinely need it for legitimate agency purposes.

No method of transmitting or storing information electronically can be guaranteed to be completely secure, but we take the protection of the information entrusted to us seriously.

12. International Transfers

The nature of the modelling, fashion and advertising industries may occasionally mean that information needs to be shared with organisations or clients outside the United Kingdom.

Where personal information is transferred internationally, we will take appropriate steps to ensure that the transfer complies with applicable data protection law and that suitable safeguards are used where required.

13. Website Information and Cookies

When you visit our website, certain technical information may be collected automatically, such as:

  • IP address;
  • browser type;
  • device information;
  • pages viewed;
  • date and time of access;
  • website usage information; and
  • cookie or similar technology information.

Some cookies are required for the website to function correctly. Other cookies or technologies may be used for analytics, security or other purposes where permitted.

Where consent is legally required for non-essential cookies, these should not be used until the appropriate consent has been obtained.

14. Google reCAPTCHA

Our website may use Google reCAPTCHA to help protect submission forms from spam, abuse and automated activity.

Use of reCAPTCHA may involve information being processed by Google in accordance with Google’s applicable privacy terms.

15. Third-Party Websites

Our website may contain links to external websites or services.

Casa Bambini is not responsible for the privacy practices of third-party websites. We encourage parents and guardians to review the privacy information of any external website before providing personal information.

16. Your Data Protection Rights

Depending on the circumstances, you may have the right to:

  • request access to personal information we hold about you or your child;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete personal information;
  • request that we restrict how information is used;
  • object to certain types of processing;
  • request transfer of information in certain circumstances;
  • withdraw consent where processing relies upon consent; and
  • raise a complaint about how personal information has been handled.

These rights are subject to certain legal conditions and exceptions.

Where appropriate, children may also have data protection rights in their own name. We will consider the child’s age, understanding and circumstances when dealing with a request concerning their information.

To exercise a data protection right, please contact:

ciao@casabambini.com

We may need to verify the identity or authority of the person making the request before releasing or changing information, particularly where the request concerns a child.

17. Parents and Guardians

Parents and guardians are responsible for ensuring that information they provide to Casa Bambini about a child is accurate and that they have the appropriate authority to provide it.

If circumstances change, please contact us so that we can update our records.

If you believe information or photographs relating to your child are being used incorrectly, please contact us as soon as possible.

18. Marketing Communications

We may contact parents, guardians, clients or other business contacts about Casa Bambini where we have an appropriate lawful basis to do so.

Where marketing communications require consent, you can withdraw that consent or unsubscribe at any time.

Operational communications relating to representation, applications, castings or bookings are not considered marketing communications.

19. Automated Decision-Making

Casa Bambini does not intend to make decisions about whether a child is represented or selected for opportunities solely through automated decision-making.

Applications and suitability for representation or opportunities may involve professional and subjective assessment by members of the agency team and/or clients.

20. Complaints

If you have concerns about how Casa Bambini has handled personal information, please contact us first so that we have an opportunity to investigate and resolve the matter.

You also have the right to raise a complaint with the UK’s data protection regulator:

Information Commissioner’s Office (ICO)

21. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes to our services, website, business practices or legal requirements.

The latest version will be published on this website and the date at the top of the policy will be updated.
